What is an active user?

An active user is someone enrolled in a connection, Coffee Maker, or pulse survey program with their settings set to active. If a user is in multiple programs under the same billing account, they count as a single active user. When someone leaves all programs, they're no longer counted.

What's the difference between Pro and Max?

Pro covers everything you need to run connection programs at scale — unlimited programs, 35+ templates, cross-group and lottery matching, and automated scheduling. Max adds the advanced matching and analytics layer: advanced matching, pulse surveys, connection analytics, report and data exports, AI summarization, and HRIS user import.

Can I try CoffeePals for free?

Yes — the Starter plan is free forever for up to 24 active users, with no credit card required. You can run real connection programs with your team on Starter for as long as you like, then upgrade to Pro or Max from the CoffeePals dashboard when you outgrow it.

Is the subscription billed monthly or annually?

Accepted Answer

We offer both. If you switch from monthly to annual billing mid-cycle, you'll receive a prorated credit. You can cancel anytime and keep access through the end of your billing cycle.

Can I pay for just my team, not the whole organization?

Absolutely. You can create your own CoffeePals workspace and pay for it separately — it only counts the programs you create, so you're only paying for your team's active users.

Do nonprofits and educational institutions get special pricing?

Will I be auto-upgraded if I exceed my user limit?

On Pro and Max, your account moves to the next active-user band automatically. On Starter, you'll get a notification without being upgraded. For annual subscribers, upgrades are prorated — and if you reduce users later, you get a credit.

Can I switch between plans?

Yes — you can move between Starter, Pro and Max at any time from your CoffeePals dashboard. Changing plans updates your features to match the new plan.

Question 9

What happens if my Starter plan exceeds 24 users?

Accepted Answer

CoffeePals will match the first 24 people who joined and notify you that you've hit the limit. The rest can join once you upgrade.
